A boutique AI retainer · Built and run for you

AI front desk and lead follow-up for the local service businesses that don’t have time to run it themselves.

Hatchmark builds and operates the back-office workflows — missed-call text-back, scheduling, review requests, lead qualification, SMS and email nurture — for dental, HVAC, med-spa, legal and home-services shops. Billed as a flat monthly retainer. You never touch the tech.

What we run for you

Four workflows, run end-to-end. You don’t log in to anything new.

Pre-built for the way your vertical books, follows up and gets reviewed — then wired into the CRM, calendar and lead sources you already pay for.

Missed-call text-back

A reply in under a minute

When a call goes to voicemail, a well-worded SMS goes out from your number — not a chatbot, not a templated ‘we’ll call back next week.’ The conversation is on-brand and qualified before it ever reaches your front desk.

Scheduling + reminders

Books straight into your calendar

Patients, leads and prospects confirm appointments through two-way SMS. Confirmations, day-of reminders, and reschedules run on autopilot — your CRM is the source of truth, not another app to log into.

Review-request flow

Earn reviews on the cadence that fits

Trigger review asks 24–72 hours after a visit, only for the 4- and 5-star experiences. Unhappy feedback routes back to your team before it hits Google. We tune the timing per vertical — not with a generic playbook.

Lead qualification + nurture

A pipeline that doesn’t go cold

Inbound web leads get a same-business-hour SMS, an email sequence and a re-engagement nudge if they stall. You see only the ones worth a call — already warmed up, already qualified.

Where we focus

Five verticals. Built into the workflows, not bolted on.

The market is loud — productized-agency courses from Liam Ottley and Nick Saraev plus white-label platforms like Vendasta and GoHighLevel have trained thousands of generalist competitors. We counter that by going narrow: one or two verticals per market, and pre-built for the way each one books, follows up and gets reviewed.

  • Dental

    Recall, hygiene reactivation, treatment-plan follow-through

  • HVAC

    Off-season tune-ups, emergency dispatch, post-install reviews

  • Med-spa

Consult-to-treatment conversion, no-show recovery, review cadence

  • Legal

Intake-to-discovery routing, retainer follow-ups, intake nurture

  • Home services

Quote follow-up, booked-job reviews, referral reactivation

Engagement

Flat retainer. Optional project work. No hourly billing.

Clients pay a flat monthly retainer, between $500 and $2,500, scoped to the workflows in the box on the right. Onboarding-redesign or new-build projects are quoted separately.

  • Twelve-month minimum — long enough to tune, short enough to keep us honest.
  • Month-to-month after month twelve, cancel any time.
  • We keep the founder on sales, onboarding and account work — the build work goes to vetted contractors.

The retainer

Per month · per location

$500 $2,500

Single location · one workflow~$500–$900
Multi-location · full workflow stack~$1,200–$1,800
Multi-vertical · full build + monthly reports~$1,800–$2,500

Optional productized project work — onboarding redesigns, new review-request builds, intake rebuilds — quoted on a flat fee. Nothing on hourly billing.

How it starts

Four steps. One on each call, not in a deck deck.

  1. 01

    Discovery

A 45-minute working session on your actual workflow — calendar, CRM, intake forms, the calls you’re missing. We leave with a one-page scope you can read in five minutes.

  2. 02

    Build

Pre-built for your vertical, then tuned to your voice, your booking rules and your compliance posture (TCPA, HIPAA where applicable, state-by-state consent). Two-week average delivery.

  3. 03

    Launch + handoff

Your team gets a single Loom walkthrough and a written runbook. We monitor for the first month and adjust copy, timing and routing based on the data, not on a checklist.

  4. 04

    Monthly reporting

A one-pager each month: texts sent, replies, bookings, reviews, revenue influenced. The same report every month, in plain English, with no hour-tracking and no “deliverable” meetings.

Stop missing the calls that would’ve paid for this twice over.

We’ll spend 45 minutes on a working session — your calendar, your CRM, the calls you’re missing — and come back with a one-page scope. No deck, no follow-up sequence, no “next steps.”
